Primary Responsibilities

  • Maintain database of client contacts, track changes, additions, and deletions
  • Coordinate various mailings to clients on a quarterly, annual, and periodic basis; knowledge of mail merge program required
  • Completing and keeping track of invoices
  • Booking travel for team members and tracking/completing expense reports
  • Maintain complete client files for all information sent to clients
  • Type, format, and coordinate client presentations; a familiarity with PowerPoint preferred
  • Manage calendars for various team members
  • Prepare correspondence based on general or specific instructions and data provided by team members
  • Organize meeting schedules, travel arrangements, and prepare expense reports using online system
  • Provide proactive customer service to clients with a positive and professional attitude
  • Provide administrative support on special projects

Skills/Experience Required:

  • 1-2 years of experience, combination of experience will be considered
  • Proficiency in a variety of computer software applications including Microsoft Word and Excel
  • Strong attention to detail and problem-solving skills are a must
  • Efficient organizational skills and both written and verbal communication skills
  • Reliable, diligent, and hardworking is a must
  • Must be able to multitask and prioritize effectively
  • Strong client service commitment, including appropriate telephone etiquette and management of confidential business matters, is required
  • Work both independently and cooperatively as a team
  • Ability to manage time effectively
  • Ability to manage multiple deadlines and priorities
  • Ability to manage heavy travel and expense related reports
